Job Title: Personal Assistant
Job Overview:
We are seeking a highly organized, detail-oriented, and proactive Personal Assistant to provide comprehensive administrative support to senior management. In this role, you will manage critical administrative tasks, including organizing and maintaining files, managing calendars, scheduling meetings, handling correspondence, and running errands. The ideal candidate will be a highly organized individual with exceptional attention to detail, the ability to comprehend instructions thoroughly, and a strong desire to assist senior executives in maintaining a smooth and efficient work environment.
This role demands the ability to work independently, anticipate the needs of management, and maintain confidentiality in all tasks.
Key Responsibilities:
File and Document Management: Organize and maintain both physical and digital filing systems. Ensure all documents are filed accurately, properly labeled, and easily accessible. Pay close attention to detail to ensure all files are organized for efficient retrieval.
Calendar Management: Effectively manage the schedules of senior management, coordinating meetings, appointments, and reminders. Ensure all meetings are organized with all necessary materials in place.
Communication Handling: Manage correspondence, including drafting emails, handling incoming messages, and following up on important communications. Ensure timely and accurate responses to requests.
Meeting Support: Prepare meeting materials, take notes during meetings, track action items, and ensure all necessary follow-up actions are completed.
Travel Arrangements: Coordinate and organize travel arrangements, including booking flights, hotels, transportation, and preparing itineraries for senior management.
Inventory Management: Track office supplies, place orders as needed, and ensure that all necessary materials are available to the senior management team.
Errands and Personal Assistance: Assist with running errands, handling personal tasks for senior management, and providing general administrative support as required.
Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and professionalism, including personal and business-related matters.
Task Prioritization: Follow detailed instructions and prioritize daily tasks based on urgency and importance. Ensure that tasks are completed on time and according to instructions.
Additional Administrative Support: Provide any additional administrative assistance as needed, demonstrating flexibility and an ability to handle a wide range of tasks.
Required Skills and Qualifications:
Education: Bachelor's degree in Office Administration, Communications, or a related field.
Proven experience as a Personal Assistant or in an administrative role, with a focus on managing files and providing executive support.
Attention to Detail: A strong focus on organizing, filing, and accurately maintaining both physical and digital records. Ability to ensure that all details are correct and files are easy to access.
Comprehension Skills: Ability to understand and follow instructions with precision. Must be able to accurately execute tasks as requested and manage multiple priorities without error.
Strong organizational and time management skills, with the ability to prioritize tasks and handle multiple deadlines.
Proficiency in office software (e.g., MS Office, Google Workspace) and calendar management tools.
Excellent communication skills, with the ability to articulate ideas clearly and professionally, fostering positive relationships and ensuring effective communication
Strong problem-solving abilities and the ability to manage tasks independently.
Ability to handle confidential information with discretion and professionalism.
Adaptability: Flexibility to manage a wide range of administrative tasks and respond to the changing needs of senior management.
Willingness to travel and be on-call as required.

Pay: Php15,000.00 - Php20,000.00 per month
